CommunityZero®Help
Permissions can be set for Membership Groups, and individual members. They can be set on an entire tool, it's folders, sub-folders, content items and sub-content items, thus providing superior granularity of control.
If setting permissions for individual members, this can be achieved by accessing the tool from the community's left hand navigation bar, and modifying the permissions for the entire tool, it's folders, sub-folders, content items and sub-content items. Entire group permissions can also be modified in this fashion.
To manage group permissions for all community tools, from a single location, access the Administration link from the community's left hand navigation bar, and select Membership Groups.
Important:
Members can be part of one or more Membership Groups and therefore receive
the intersection of those permissions, and any individual member permissions
that have been set. For
example, a member that is part of two groups where only one group has
the right to post notes, WILL
have the right to post notes. For
this reason, if you plan to setup very restrictive permissions, you may
wish to remove all rights from the default Member group so that rights
are only granted in custom user-defined groups. Furthermore, a member
that is part of a group that doesn't have the right to post notes, but
has been granted the right as a individual member, WILL
have the right to post notes. A
member will always receive the highest level of rights, granted by group
membership, or individual assignment.
Note that community founders and administrators do not have to modify permissions very often as communities come equipped with the most common Membership Groups and permissions schemes already defined. Furthermore, there are no individual member permissions assigned by default, only a base set of group level rights.
By default founders, administrators and moderators can add, edit and delete all content. Members can add content but are set by default to only have the right to edit and delete content they created (i.e. where they are the OWNER of that content).
To assist further, common permissions scenarios are also offered during folder creation (listed as a simple drop-down list during folder creation). When a time comes that a custom permission setup is required, they can be applied with great ease. See the section below titled "Modifying Permissions for a Group" for more details.
To access custom permission settings, click the "Permissions" button in the gray toolbar while editing a folder, content item or sub-content item. To set permissions defaults for an entire tool, select the tool while in the Membership Groups section of the Community Administration area.
Note:
While adding new content, you can also select a checkbox labeled "Modify Permissions Before Posting".
Doing so will take you directly to the edit permissions screen once the
content has been created. This feature hides the new content from all
members except OWNER until the view permission is explicitly granted to
each group.
If editing permissions in the Membership groups area, select the desired tool in the top left-hand drop down box. To edit permissions within a content tool, edit content and select the Permissions button in the above gray toolbar.
Up to four tabs will appear along the top of the screen. Select the tab that corresponds to the content level you wish the affect (i.e. tool, folder or content item).
If the group is not already on-screen, select
the desired group from the drop-down box in the bottom left-hand corner.
