Folders

Several of the CommunityZero tools allow you to organize your content into folders. This allows you to group related content within a tool, making it easier for users to find the content they're interested in. Folders can hold content and/or other folders (sub-folders), which allows for the creation of nested folder structures.

The following tools make use of folders for content management:

 

When using a tool that supports folders, you will always be able to see the current folder name and a list of any sub-folders of the current folder. The list of sub-folders also shows you how many content items that folder holds, and whether any of those items are new to you. This allows you to tell at a glance if some relevant information may be contained within a folder or one of its sub-folders.

By default, there is always a top-level folder called "General" in each tool that supports folders. You can create additional folders at the same level of this folder, or enter the "General" folder and create sub-folders there.

Creating a Folder

Users who have permission to create folders will see a link labelled "Add new folder" or "New Folder". Clicking this link will open a form where details about the folder can be entered. These details include:

Folder Name

Select a name for the folder. Shorter names will appear as complete words on screen.

Description

Make use of the description to let members know the purpose of the folder. Describe how it should be used and what basic rights have been provided to members.

Sort Order

Set the order in which content should appear in that folder. The default is "most recent", meaning that the folder will show the newest content first (on page 1) and older content will be pushed to the secondary pages when content is added. There are also options for sorting chronologically, alphabetically and by several other tool-specific options (i.e. File Sharing allows sorting by file size and file name).

If User Content Ratings have been enabled by administrators for the tool, two additional sort options will appear.  Content items can be sorted by highest or lowest average user rating.  For example, in the discussion tool, this can be used to bring the best topics to the top.

If a view count sort option has been selected, view counts for each content item will be displayed within the folder, otherwise these values will be hidden.  For a complete description of each view count sort option, see the section on view count intervals.

Note:  If the "Display of Content View Counts" has been disabled, sorting based upon these values will still continue, however view counts will be removed from all locations of the community.

Parent Folder

Select the location in the folder "tree" where the folder should reside. If the folder should be a sub-folder to another, select that folder as its parent. To create a folder that appears on the tool's main page, select "(Root Level)" as the parent.

Set as archive folder

Select this check box to indicate the folder is of type "archive".  Content items placed in folders of this type do not appear on the What's New page or other "Most Recent" views.  Archive folders appear gray in folder trees.

Basic Permissions

Basic permissions are easy-to-use permission schemes for controlling access to the folders, future content and, subsequent sub-folders. See the help section on Basic Folder Permissions.

Folder Permissions

Edit an existing folder to access an advanced permissions interface called "Folder Permissions". While editing a folder click the gray toolbar button labeled "Permissions". Establishing permissions allows for a large degree of control but may be intimidating for novices. Learn more about Setting Permissions.

Editing/Moving Folders

Edit an existing folder and simply select a new "Parent" folder to change its location from within the folder tree (parent folders are described above). All content and sub-folders within and below the folder will be moved automatically.

Deleting Folders

Select the folder that you would like to delete. Below the drop-down folder list, an option to "Delete" will be made available. You must have permission to delete the folder for this option to be available to you.
